TurboFax is a dealer vehicle-intelligence platform. This policy describes how we handle information when you use our website, API, and related tools.
2. Information we collect
- Account data: name, email, hashed password, plan, feature access, and API keys
- Usage data: VINs you look up, report timestamps, and feature usage for billing and limits
- Technical data: IP address, browser type, session cookies, and server logs for security and troubleshooting
3. How we use information
We use collected data to provide and secure the service, enforce plan limits, support your account, improve reliability, and comply with legal obligations. We do not sell personal information.
4. Vehicle & report data
VIN lookups may be cached locally on the server to improve speed and reduce load on third-party providers. Report content originates from CARFAX, Manheim, and similar sources under their respective terms. You are responsible for how you use and retain that data.
5. Cookies & sessions
We use HttpOnly session cookies to keep you signed in. Theme and UI preferences may be stored in your browser (localStorage). You can clear these through your browser settings.
6. Sharing
We share data only when necessary to operate the service (hosting, payment processors when enabled), when required by law, or with your consent. Third-party report providers receive VINs you submit as part of generating reports.
7. Security
Passwords are stored using one-way hashing. API keys and secrets should be kept confidential. No system is perfectly secure; report suspicious activity to your administrator promptly.
8. Retention
Account and usage records are kept while your account is active and as needed for billing, security, and legal compliance. You may request account deletion through your administrator.
9. Your rights
Depending on your location, you may have rights to access, correct, or delete personal data. Contact your TurboFax administrator to exercise these rights.
10. Changes
We may update this policy. The “Last updated” date at the top will change when we do. Continued use after updates means you accept the revised policy.
